Absence from Examination
  1. In case you need to apply for absence from examinations of a course due to extenuating circumstances, please submit your application to the College Office in writing by filling in the application form "Application for Absence from Examination", which can be downloaded from Learner Portal under the tab "My resources" → "Community College" → "Assessments and Examinations", together with relevant supporting documents within 5 working days after the examination date of that course (excluding Saturdays, Sundays, Public Holidays and School Holidays). Please refer to the student notice for the application deadlines set for respective examination dates. Late application or application without payment / original copy of documentary evidence will NOT be processed. Applicants are advised to keep a copy of the completed form and supporting document(s) for their own records.

  2. Students will only be permitted to take the make-up examination of the same course ONCE during the period of registration of their respective programmes. No further arrangement would be made for students who are absent from the approved make-up examinations of the same course, and they would receive a "Fail" grade for the course concerned and be required to repeat the failed course as appropriate in the next available semester.

  3. Final year students who are approved to take make-up examination(s) may have their graduation delayed.

  4. Please follow the instruction indicated on the application form. You should provide as much information and documentary evidence as possible to support your application. A non-refundable application fee will be charged per course.

  5. In case of sickness, the College will ONLY accept medical certificates issued by registered doctors (註冊西醫) or Chinese medicine practitioners (註冊中醫) * in Hong Kong. The date(s) of sick leave granted should include the examination date(s) of the course(s) concerned. Medical certificates issued by registered Chinese medical practitioners should include the full name and the HKID number of the patient as well as the name and registration number of the attending practitioner. Medical certificates issued by Listed Chinese medicine practitioners (表列中醫) will NOT be accepted. The College may contact the relevant parties to seek clarification / confirmation / verification of all the information provided in this application including supporting document(s). The use of forged document(s) as evidence of fitness/sickness is a criminal offence and is liable to prosecution under the laws of the Hong Kong Special Administrative Region. The College may take any disciplinary action against the students concerned in accordance with the nature and seriousness of the offence. Penalties imposed on students may be recorded in the transcript of students' academic records.

  6. The application of make-up examinations will be considered by the College's Board of Examiners whose decision is final. For courses offered by the HKU Faculty of Science ("the Faculty"), your application for make-up examinations will be considered by both the College's Board of Examiners and the Faculty.

  7. For the application results and the exact examination date of make-up examination schedule, please check regularly the announcements regarding the make-up examinations which will be posted on Learner Portal after release of assessment result. Please be reminded that it is your responsibility to check your timetable and inform the College Office if you find any discrepancies. If you could not view the make-up examination timetable on the Learner Portal or do not receive any notification nearer the time, please contact the College Office. Otherwise, you may receive a "Fail" grade for the course.

* The list of registered Chinese medicine practitioners can be obtained from the website of Chinese Medicine Council of Hong Kong (http://www.cmchk.org.hk/). According to the Reference Guide on Issuance of Sick Leave Certificate by Registered Chinese Medicine Practitioners (http://www.cmchk.org.hk/cmp/eng/#main_public05.htm), the medical certificates should include the full name and the HKID number of the patient as well as the name and registration number of the attending practitioner. Thus, when you submit a medical certificate issued by a registered Chinese medicine practitioner, please ensure that your HKID number is printed on the certificate.
